Setting up late invoice reminders
Settings > Sales and finance > Late invoice reminders
Automatic reminders can be set for overdue invoices.
Every reminder profile can be linked with contacts, and you can specify, when and who receives what reminder.
One profile can have several reminders. For example, one reminder profile can include reminders with 10, 15 and 20 day intervals, all of them with different content.
To add a new profile:
- Click on Add
- Give the profile a name
- Choose the sender address from the dropdown menu and the language for the reminder
- Give the reminder a title
- Choose, how many days before or after the deadline the reminder is sent out
You can use dynamic fields when composing the reminder. Click on the desired field (such as "First name") and the value will be inserted where the cursor was placed.
You can add another reminder by clicking on Add reminder.
For example, the second one could be 7 days after the first reminder.
You can tick the option to Repeat last reminder after some days.
It's also possible to Assign this profile to all clients and/or all invoices with no profile.
Save the profile.
You can also activate automatic reminders and set a default profile for all new contacts.
Reminder profiles can be linked with contacts in the contact modify window. Tick the option Display in client list and choose a reminder profile.
When a reminder profile has been set, it will be attached automatically when creating and invoice.
All the reminders waiting to be sent out manually are displayed in the reminders list under Invoices.
Information about sent reminders is available under Reports > Sent items.
Reminders are sent out every day 8:00 AM. In order to send/modify reminders, users must have the "Right to modify sales and finance settings"
