Time entries allow you to divide a task into several subtasks helping team members to easily collaborate on one task. There can be an unlimited amount of time entries under one task with various activity types, descriptions, and assignees.
Time entries cannot exist without a task. Even so, you are able to view your time entries in your task list, if you add time entries under a certain task and don't mark them as done. Read more about it here.
To create a time entry, open a task, and click on the Add button in the time entries section, then select the option Add time entry. Another option is to use automatic time tracking.
Time entries can also be created from the task list. Just hover on the task line and click on the stopwatch icon.
A time entry does not have a name – it is characterized by the activity type and the description. For more detailed reporting, make sure you add both. In case the activity type has been defined for the task, this information is filled out automatically. Of course, you can change it, if your assignment should be linked to a different activity type.
Select a duration for the time entry (how long it took or will take to finish this part of the task). By default, this field is filled out with the task planned duration (if defined). Add a tick to the checkbox Done, if the time entry is actually done. If you're planning time entries for the future and they are yet to be finished, remove the tick and add a future date for the time entry.
In the task list view, the time entry is displayed with the description or activity type (if there is no description) under the related task (you can recognize it by the stopwatch icon). If you don't see time entries in the list, change the view of the list by clicking View, then View options, and selecting Show time entries.
Like tasks, time entries can also be delegated. Just click on the picture next to the description of the time entry and choose a team member to delegate the time entry to. In this case, a notification is automatically sent to the assignee in Scoro.
The duration of the time entry is incorporated in the actual time spent on the task after the time entry is marked as done. The actual billable time (if the time-billing function is active) of the task are calculated the same way. The planned duration and billable time are theoretical and only displayed under the particular time entry until it has been marked as done. Read more on time-billing.
To quickly mark the time entries as done, you can use the task list or the Task detailed view. Just click the Mark as done button in either view.
Planned and completed time entries are automatically visible in the work report.
In the task list, as well as the task detailed view, the user is given a warning, when closing a task (marking as done) that contains time entries that have not been completed yet. Via this warning the user is able to either continue and close the time entries along with the task (mark all as done with the planned duration) or leave the task as it is.
Note! A user who does not have the right to modify another user's tasks can still add time entries to this user's tasks, as they might need to do a part of this task.
