Turning quoted services into tasks
To turn the services or products on a quote quickly into tasks for you and your team, just open the quote and click the Use data on quote to ... button.
Just make sure you have linked the quote to a project.
Now click the option Create tasks.
From the list of tasks created, choose the services you want to delegate and remove the ones you wish to leave out (by clicking the X on the line of each task).
By clicking on the person icon, you can select a person (or multiple, if you're using the possibility to assign tasks to multiple people) to assign the task to.
You can also change the person responsible for the task.
You can rename the task by clicking on the name of the task, by default, the tasks are named after the services on the quote. Add or change the description of the task, if needed.
Also assign or change the activity type to set different activities apart and see, what type of activities have taken the most of your team's time.
You can change the planned duration of the tasks. The default duration is taken from the quote, e.g. 1 piece = 1h.
The button with three dots on each task line provides another three options
- Link with existing task – you can link the task with an already existing task related to the same project. Just click this option and select the relevant task.
- Create new task – another task is created and linked to this task. The new task uses your preferred task duration by default (you can set it up here), which is added to the original duration of the service taken from the quote (not included in the initial duration).
- Add tasks from bundle – link this task to a previously created task bundle. This is handy in case the offered service includes multiple standard steps that you do each time with similar projects.
If everything looks like it should, just click Create tasks and you're done!
The created tasks will appear in the quote detailed view (but also in the project and contact detailed view) under Planned activities...
...and in the task list of the team members the tasks were delegated to. If any of the tasks were left unnassigned, you can just filter them out from the task list os view and assign them from the specific project view.
In addition, you’re able to later on go back and make changes to the tasks linked to the quote lines, unlink them, or add more tasks, if needed.
Just go to the quote detailed view and click on the button Modify tasks.
